Create a Personal Meeting Link in Teams

What is a personal meeting link?

A personal meeting link is a Teams meeting link that can be reused anytime for virtual office hours, drop-in sessions, or any other impromptu meeting in Teams (similar to a personal room in Zoom or WebEx). 

Create and Share your personal meeting link:

  1. Open your Teams desktop app.
  2. Select the Calendar icon in the left rail.
  3. Click Meet Now and enter an impromptu meeting (by yourself).

  4. In the window that pops up, you can set a meeting title at the top, then click Join now.

  5. Open the participants list, and click the link symbol to copy the meeting link to your clipboard.

    To edit the meeting options at this time, see the directions in the FAQ section below.
  1. Paste the meeting link into a Word document or Outlook email.
  2. Right click on the default hyperlink text: Join Microsoft Teams Meeting, then go to Edit Hyperlink... and edit the Text to Display to personalize it.

    Now you have a reusable link for unscheduled Teams meetings that will look similar to the one below:

Save the Word document or email containing your link so you can access it again later. (Pressing the Meet Now button again will give you a different link.)

You can also bookmark this link in your browser so you can easily access it when you need it.

Any time you need to send it out, copy + paste the link into your message to the participant(s).

Note: You need to click the same link as your participants (or join from your bookmark of this link in the browser) because Meet Now creates a unique link every time.

Frequently Asked Questions (FAQ):

If you need participants to enter one at a time, you can change the meeting options to make sure everyone waits in the lobby and Admit them one at a time.

  1. In the Participants list, click the button to manage permissions. (See image below - it looks like a checkmark with an 'x' next to it.) 

  2. This will open the Meeting options in your browser. Under Who can bypass the lobby? choose Only me.

  3. Now everyone will have to wait to be let in by you.
  • Participants who join as a Guest will only see the meeting chat when they are in your meeting - their names will be appended with (Guest).
  • Participants who are signed in (students or employees) will continue to see the chat conversation even after they leave the call.

To stop people from seeing the chat once they have left the meeting, they will need to leave the chat manually or be removed from the meeting chat by you.

Participant - leave meeting chat

  1. Select the Chat icon on the left rail.
  2. Locate the meeting in their list of chats, right click on it, and choose leave.


Organizer - remove former participant from meeting chat

* Recommended if chat privacy is a concern

  1. Select the Chat icon on the left rail.
  2. Select the meeting in your list of chats.
  3. Click the View and add participants icon in the upper right.
  4. Hovering over an participant's name, then click the 'x' that appears to remove them from the chat and meeting.
