Joining a WebEx Meeting (Participant)

These instructions apply to people who are joining a WebEx meeting from their computer, which is recommended for the best experience.

If you have an older version of WebEx or need to join from your mobile device (phone or tablet), detailed directions are available on the Cisco website here: Join a WebEx meeting. A mobile app is available for iOS or Android by downloading it from your respective app store.

  1. Extra equipment needed in addition to your computer:  
    • AUDIO - USB headphones, or a speaker and microphone or a Telephone (to call in)
    • VIDEO - Webcam (optional)
  2. ​​When you are invited to a WebEx meeting, you will get an email from the host with the date and time, and a link to click when it’s time to join the meeting. You do not need an account to participate.
  3. You can add the meeting to your calendar by double clicking the attached .ics file or by clicking the Add to Calendar button.

  4. When it is time for the meeting, you have two ways you can join. 
  • Option 1- Click the Join Meeting button or link provided in the email invite.
  • Option 2- Navigate to in your web browser. In the Join a Meeting box, enter the meeting number or the host’s personal ID.
  1. The link will open in your default browser. If this is your first time joining a WebEx meeting, you may be prompted to install an add-in or the desktop app to proceed. You will be asked to enter your name and email address or you can sign in if you have an account. 
  2. Before you join a meeting, you will see a preview screen where you can setup your audio and/or video.

    From the drop-down, choose Use computer audio when possible. Choose a new audio source here if needed. Click Test speaker and microphone to test your equipment or to change devices.
  • You will need headphones or speakers connected to your computer to hear the meeting. You will need a microphone if active participation is needed.
  • If you do not have an appropriate device, you can choose Call Me or I Will Call In in the drop-down to participate by phone. 
  1. Choose whether to have your microphone and/or video on prior to joining.  
    In the image above, the attendee's microphone and camera are both on. When they are off/muted, the corresponding icon will be red with a line through it. 
  2. When you are ready, click the Join Meeting button to connect.
  3. In the meeting, you see the following icons and meeting controls at the bottom of the window.

  • The icons may show the words or just the icons depending on what device you join on.  
    1. Mute/Unmute – When you are muted, the mic icon will be red with a line through it.
    2. Start/Stop Video – If you want to connect with video as well as audio.
    3. Share Content – Share your screen - only available with extension installation.
    4. Reactions- Use emojis to share your reaction.
    5. Other options (... menu) – Access additional options.
    6. Leave (red X) – Click this to leave the meeting.
    7. Participants – Show or hide the list of participants.
    8. Chat – Show or hide the chat window.
