 Friends and Family in Workday

The Friends and Family section in Workday allows students to request that a third party be granted proxy access to specified account information. Staff can view the listed contacts, but only students can add a third party to their account. 

This article is for students who are granting Third Party permissions (proxy access).

Student Process

Step 1) Add contacts to Friends and Family

  1. Log in to Workday
     
  2. From your Workday homepage, select the Person icon in the top right corner. Select the View Profile button.

  3. In the Contact section of your profile, under Friends and Family, select Add.

  4. Enter the required information, especially those fields notated by a red asterisk.
    1. In relationship type, select Proxy. You can select more than one relationship type for a contact if applicable.
      Note: You are required to add at least one emergency contact. For many users, their proxy is also their emergency contact.
       
    2. Is Third Party User must be checked in order for the person to be considered a proxy user.

  1. After entering the name and relationship details, select the Contact information tab to continue. 

    An email address is required for a third party to receive the necessary emails. However, including all three types of contact information is recommended.

  2. Select the blue OK button to continue. You will need to add specific permissions for any third party (proxy) users you have added. 
     
  3. Finalize your choices before selecting Done.
     

Step 2) Manage Permissions for Third Party

Once the required information is confirmed, you will see the yellow alert where the Third Party box says Yes.

  1. Select Manage Permissions for My Third Party under the Actions menu.

  2. Grant third party access by selecting the Allowed box corresponding to any or all of the following options: make a payment, view their financial aid package, view account activity, view student statement, view current classes, and view student grades.

  3. Once the permissions are selected,  select OK

Step 3) Privacy Release Authorization Waver

  1. Before the third-party access can be finalized, the Privacy Release Authorization Waiver must be completed, providing a reason for the waiver and checking Confirm after reading the disclosure.
  2. Now that the third party is added, the third party user indicated will receive three emails to the email address provided:
    1)"Access Granted" email 2) username 3) password
